To improve accuracy, reduce mislinking machines and to ensure samples can be processed quickly on arrival we provide bottles with a barcode label called a K or Kit number and the customers enter the fluid analysis sample form info online before posting. Pre-registering a sample link them to this url. https://lab.lubewear.com/LubeWearLubeLab/#/createsamplelabels. In Step 1 (select equipment) Select customer which will be your kit supplier or parent company if lots of sites, jobsite is likely your company and site. If you have access to all the sites and your company is in the customer box you can add additional job sites if needed with the or add new jobsite, but if you only have access to a few sites then you will not be able to see any new sites you create until the lab grants you access. After customer and jobsite selected pick equipment. If a first time sample not already in the database, click or add new sample point to the right of the 3rd drop box. A popup will appear. You can ignore all the left fields except the the bottom left pick template option which includes things like road vehicle for cars, bus, trucks etc, industrial or marine engine, industrial or marine gearbox, industrial compressor, excvator, dozer etc for construction machinery. On the right Input unique asset ID which can be e.g. a machine serial or registration and, make and model, and click Create New Machine. A green message will appear. If you get a red message it may say machine already exists which means you need to pick something more unique than e.g. Engine 1, or you may get asked to pick a unit number, which is the make and model, or a template which is that bottom left box. You can close the popup when finished adding machines. Machines appear in 3rd dropdown titled equipment. You can ignore the 4th dropdown of fixed plant route. Click next to go to step 2 (general info). All of this page is optional, but usually customers add a meter reading in hours, km of miles and a job number if relevant. Note job number and sample date (a date picker field) fields apply to the whole samples in queue so they need to press send to lab if doing different job numbers or days of sampling together, Step 3 (select components) you tick the existing components for the machine, which may be 1 pre-ticked for a gearbox or hydraulic system, but for vehicles, excavators, generator engines etc they may have multiple sample points such as engine oil, engine coolant, fuel, hydraulic steering etc, so tick what is relevant. Do not add components here and click next to step 4 enter component details. You will have the component, Bottle label which you can type in as the k number on bottle. You can pick the oil type and grade from the pick list. If an oil not in the list you can pick other and add to notes box. Fluid hours defaults to meter reading. fluid added is amount in litres. All numbers fields on the site need to be whole numbers not decimals. they can also tick filter changed, fluid changed and urgent if needed. Add notes as required if not routine e.g. oil level rising. Click add to queue for each component. this takes you to step 1 and labels in queue at top or right depending on screen size will have increased. If you get message label already exists you can view queue and remove if needed. Repeat 1 to 4 for other machines and pres send to lab when done. Never press the print option as that is only for customers who do not have one of our bottles. (Please emphasise they dont’ need to print) Our bottles come with the barcode already on the bottle, so the customer never needs to print anything. This is our most common FAQ. Offer to ask them to go add to a new tab and go step by step with customer if needed. Further info here: https://learnoilanalysis.com/faq/how-to-pre-register-a-sample/.
